Project CRM

Keep every client's work moving without hiring a project manager.

A board per client, a card per deliverable, and a launch button on the card that starts the actual work instead of reminding you to.

  • Launch buttons on cards One click into a prefilled order.
  • Internal columns Mark any column so the client never sees it.
  • A client-visible board Read-only in their portal, where they can comment.
  • Client replies land on the card Not in your personal inbox.
  • Google Drive attachments Including batch attach.
  • Branded status notifications Emailed under your identity, not ours.
  • Campaign seeding Campaign Builder drops the plan in as columns and cards.
  • Free The board costs nothing. No per-seat, no per-card.

A board that doesn't just track the work.
It starts it.

Every project tool you've used documents work. You still have to go and do it, in a different tab, re-typing the client name and the keywords a fourth time.

Here the card has a button. It opens the right tool with the client and the keywords already in it.

And your client can see the board — the columns you let them see.

The Project CRM kanban board for one client: three monthly columns holding cards for keyword targets, blog article writing, guest post writing and publishing, and an end-of-month ranking report, each with a status label, assignee and completion date.
Our own board. A live board — our own client record, so the cards are real work. The client list on the left is blurred; those businesses didn't agree to appear in an advert.

Why your project tool doesn't help

The board and the work live in different buildings.

You have a card that says "guest post — Acme — these three keywords".

To act on it, somebody opens another tool, finds the client, re-types the keywords, sets the options, and remembers to come back and move the card.

So one of two things happens. Either the board is accurate and the work is slow, or the work gets done and the board quietly becomes fiction.

Every agency has lived the second one. The status column says In Progress on things that shipped in March.

The fix isn't discipline. It's putting the button on the card.

The board is free.

Every client, every column, every card, every seat — no credits at all. The thirty credits you get on email verification go on the work the cards launch, which is where they belong.

Founding accounts lock $0.35 a credit on every plan and every top-up — the rate that otherwise needs a $1,750-a-month plan. A few founding spots are left.

The mechanism

How a card turns into a deliverable.

  1. 01

    Columns you define, per client

Custom columns and cards, dragged to reorder or move. Any column can be marked internal, which means it exists for your team and never renders in the client's portal.

  2. 02

    A campaign seeds itself in

Finish a plan in Campaign Builder and it writes its own column and cards straight onto the board — the mix, the quantities, the owners. The plan doesn't need transcribing, which is the step nobody ever does.

  3. 03

The card carries the launch button

Guest post, press release, syndication, citations, article. The button opens that tool with the client selected and the keywords populated. The re-typing step is gone, and with it the reason boards drift out of date.

  4. 04

Work happens, status changes, the client hears about it

Status labels are yours to define. A change can fire a branded email notification to the client, sent under your identity rather than ours.

  5. 05

And when they reply, it lands on the card

The mailbox is polled every couple of minutes, so a client answering a notification threads onto the card it came from instead of disappearing into a personal inbox where nobody else on the team can see it.

  6. 06

    Files ride along

Google Drive attachments on cards, including batch attach, plus a comment thread with unread badges so a returning team member can see what moved.

What you end up holding

One board your team works from and your client trusts.

A board per client
Filed against the client record, so it sits beside their brief, their rankings, their orders and their reports rather than in a separate product with its own client list to maintain.
A client-facing view
Read-only in the portal on your own subdomain, showing only the columns you didn't mark internal. Your client can post comments, which arrive on the card.
Cards that carry their own context
Progress, subtask counts, assignees from your team list, the status labels you defined, and a comment thread with unread badges.
A delivery record
Because orders launched from a card stay attached to the client, the board becomes the history of what actually shipped. Across our own programs it holds 6,033 delivery tasks.
Notifications you didn't write
Branded status emails to the client on the changes you choose, with replies threading back onto the card.

The board is free.

Every client, every column, every card, every seat — no credits at all. The thirty credits you get on email verification go on the work the cards launch, which is where they belong.

The countable facts

Including what the card doesn't have.

Boards
One per client. Unlimited clients.
Columns
Custom, reorderable, and individually markable as internal.
Cards carry
Progress, subtask counts, assignees, your own status labels, a comment thread with unread badges, and Google Drive attachments.
Launch buttons
On campaign cards — open the matching tool with the client and keywords prefilled.
Client view
Read-only in your own portal subdomain, non-internal columns only, client comments allowed.
Inbound email
The mailbox is polled every couple of minutes and replies thread onto the originating card.
Team
Assignees drawn from your team list, with invitations and roles.
First-visit explainer
Yes — the CRM is one of only two tools with one. We're not going to pretend the whole product is guided when it isn't.
Credits
The board is free. The only charge in this tool is 50 credits a month if you switch on client email notifications.
What the card does not have
No due dates, no priorities, no editable checklists. The fields exist in the data model but there's no editor for them, so we don't list them as features.

Who this is for

Anyone who has ever had to explain a stale board.

The freelancer running eight clients

You are the team, so the board's job isn't coordination — it's making sure nothing waits on you remembering it. The launch buttons mean a Monday morning of work is a sequence of clicks rather than eight context switches.

The agency with account managers

This is where the internal-column flag earns its keep. Your client sees progress and shipped work; they don't see the column where you argue about scope. And they comment in the portal instead of emailing three people.

The operator with one site

Probably the least useful tool here for you, and it's free, so use it as a publishing calendar. Seed it from a campaign and work down the column.

What it costs to find out

The board is free. No card.

Every client, every column, every card, every seat — no credits at all. The thirty credits you get on email verification go on the work the cards launch, which is where they belong.

Verify your email and 30 credits land in the account. Not a trial that takes your card "for verification". No card at all.

And nothing expires on a timer. Credits sit in the account until you spend them.

Launch — founding accounts

$0.35 a credit, locked for good.

Credits normally run $0.50 at the smallest amount and slide down to $0.35 only at 5,000 a month — a $1,750-a-month plan.

Founding accounts get that bottom rate on every plan, every top-up and every pay-as-you-go purchase, starting at a $35 top-up. Same rate. One fiftieth of the commitment.

It's written onto your account, not onto a coupon you have to remember, and it applies for as long as you have the account.

A few founding spots are left. When they're gone, so is the rate.

The same credits, both ways
Credits Standard Founding You keep
100 $50 $35 $15
500 $225 $175 $50
1,000 $400 $350 $50
5,000 $1,750 $1,750

The last row is the point: at 5,000 credits the two prices meet, because $0.35 is the volume rate. Founding accounts get it without the volume.

30 credits on email verification, no card, and the locked rate is applied to the account itself. Every deliverable's cost in credits is printed on the button that spends them.

Before you ask

The questions we'd ask.

Does it have due dates?
No. The field exists in the data model but there's no editor for it in the card, so due dates, priorities and editable checklists are all things we deliberately don't claim. If date-driven project management is the job, keep the tool you have — this board's value is the launch buttons and the client-facing view, not scheduling.
Can my client see everything?
Only what you allow. Any column can be marked internal, and internal columns never render in the portal. What they do get is a read-only view of the rest under your branding, on your own subdomain, with the ability to comment — and their comments arrive on the card rather than in someone's inbox.
What actually happens when I press a launch button?
It opens the matching tool with the client already selected and the card's keywords already populated. So a card that says "press release, Acme, these terms" becomes a prefilled press release order in one click. That's the whole reason this exists rather than a board you'd have to keep in sync by hand.
How do client replies get onto a card?
The mailbox is polled every couple of minutes. A client replying to a branded status notification threads onto the card that generated it, so the conversation stays with the work instead of living in one person's email.
Is it really free?
The board, the columns, the cards, the attachments, the comments and the seats cost nothing. The single charge anywhere in this tool is 50 credits a month if you turn on automated client email notifications, and that's optional.
Where do the cards come from?
You make them, or Campaign Builder makes them. Finishing a campaign plan seeds its own column and cards onto the board with the mix, quantities and owners already set — which is the step that normally gets skipped and is why most plans never become work.

A board that doesn't just track the work.
It starts it.

It's free. There is no version of this where you pay for the board.

The credits go on the work the cards launch — and your first thirty are on us.

If you're one of the first accounts, they cost $0.35 each after that, for as long as you have the account.
